AI for accountants,
with a signature at the end.

The model proposes. An accountant posts and signs.

In context

AI for accountants means software that takes the repetitive middle of the job (coding transactions, matching bank lines, chasing missing documents, answering routine client questions) while a qualified accountant reviews and signs whatever reaches a client or a tax authority.

Where it breaks today

01

Documents in every shape

Photographed receipts, PDF invoices, bank exports, forwarded emails and spreadsheets from clients who keep their own. The data a return needs is in there, spread across formats no single tool reads well, and someone re-keys it before every deadline.
02

Exceptions pile up at the close

Bank feeds and rules in Xero, Sage, A3 or QuickBooks match the easy lines. The rest, part payments, one invoice paid in three transfers, a supplier with four names, waits for a person, and waits longest in the weeks when nobody has time.
03

Record rules are tightening

Spain’s Verifactu requirements, B2B e-invoicing under the Crea y Crece law and the EU’s VAT in the Digital Age package all push towards invoices that are structured, chained and unalterable once issued. A tool that quietly rewrites records is a liability, not a convenience.
OUR APPROACH

How AI is used in accounting, done carefully

The systems we build for accounting firms share one rule: the model proposes, the ledger records, a person posts. A suggested account code arrives with the document it came from and the reason it was chosen. A reconciliation match arrives with its confidence and the lines it considered. Nothing is written to a client’s books, and nothing is sent to a tax authority, without an accountant’s action.

That rule matters more in accounting than almost anywhere, because the professional signing the return carries the liability for it. AI in accounting software is useful exactly where it shortens the path to that signature, and harmful wherever it hides how a number was reached. So every suggestion is traceable, every override is logged, and the accounting software you already use stays the system of record.

Most firms do not need a new ledger. The built-in features in Xero, QuickBooks and Sage handle a lot. Custom work earns its place where clients span several systems, where documents arrive outside the feeds, or where the firm’s own judgement, its chart of accounts and its client history, is what makes the answer right.

HOW IT DEPLOYS
PHASE 01

Measure the backlog

We sample a month of real documents and exceptions from a few clients, and measure where hours actually go before anything is built.
PHASE 02

Connect to the ledger

Read and write through the official APIs of your accounting software, with per-client permissions and a log of every suggestion and every acceptance.
PHASE 03

Review, then widen

Staff accept or correct each proposal. Corrections feed the firm’s rules, and the system only takes on a new category once its suggestions hold up under review.

What we build

01

Bookkeeping agents

AI bookkeeping that reads receipts and invoices, proposes account codes and VAT treatment, and works through bank reconciliation exceptions, posting nothing until a person accepts it.

SEE BOOKKEEPING AGENTS →
02

E-invoicing and Verifactu checks

Readiness checks on the invoicing systems your clients use, structured invoice validation against EN 16931 and Peppol formats, and exception queues for anything that will not pass.

SEE E-INVOICING →
03

Client query desk

Routine client questions (deadlines, missing documents, where a filing stands) answered from the firm’s own records, with anything that is tax advice routed to the accountant who owns the client.

04

Finance workflow automation

Document collection, month-end checklists and the handoffs between practice management, the ledger and the client portal, so a person spends time on judgement rather than on chasing.

Questions

Questions about Accounting & Tax Firms.

How is AI used in accounting?

Mostly in the repetitive middle of the work: reading receipts and invoices, proposing account codes and VAT treatment, matching bank lines that the feed rules miss, chasing clients for missing documents and answering routine questions about deadlines. The useful systems keep the accounting software as the record and show the evidence for every suggestion. Review, judgement and the signature on a return stay with a qualified accountant.

Will AI replace bookkeepers and accountants?

It changes the job more than it removes it. Data entry and first-pass reconciliation shrink, while review, exceptions, advisory work and the professional responsibility for a filing do not. A model cannot carry liability for a return, and the firms that do well treat AI as a way to clear the backlog so qualified staff spend their hours on the work clients actually pay for.

What are the best AI tools for accountants?

Start with what is already in your ledger: Xero, QuickBooks and Sage all ship AI features for categorisation and reconciliation, and they are the right first step. Custom work makes sense when your clients span several systems, when documents arrive outside the bank feeds, or when the firm’s own rules and client history decide the answer. We would tell you if an off-the-shelf feature covers it.

Is it safe to put client financial data into AI tools?

Only under the right terms and architecture. Client books are personal and confidential data, so we build with processor terms in place, no training on your data, per-client access separation and EU hosting where required, and we can run models on infrastructure you control. Whether those controls meet your professional body’s rules and your GDPR obligations is your determination, and we document the design so you can make it.

Can AI file tax returns for clients?

We do not build systems that file on their own. AI can prepare a draft, reconcile the inputs and flag what looks inconsistent with prior years, but submission to a tax authority is an act a qualified person takes and signs. The systems we build stop at a prepared, evidenced draft and a review queue.
