Events & Conferences

The programme,
without the chasing.

Speaker management software tracks submissions, speakers and sessions. AI on top of it does the slow work around them: sorting abstracts for reviewers, chasing missing bios and slides, and turning an agenda change into the right messages.

The real shape of the problem

Programme work comes in two waves. First the call for papers: hundreds of abstracts, some duplicates, some off-topic, some excellent and badly written, all to be read and scored by volunteer reviewers. Then speaker operations: bios, headshots, session descriptions, travel, A/V needs and slides, each chased individually, followed by the agenda changes that ripple through rooms, apps and printed signage.

We build on your call-for-papers software, whether Sessionize, Pretalx, Oxford Abstracts or your event platform’s module. Submissions are checked for completeness and fit, grouped by theme, near-duplicates flagged, and each abstract given a neutral summary so reviewers see the substance quickly. Reviewer assignment avoids declared conflicts. Speaker chasing runs from a checklist per session, in each speaker’s language.

When the agenda changes, one approved edit in the agenda system produces the right updates for the speaker, the room team, the app and the attendees who saved the session.

What it handles

01

Call-for-papers triage

Completeness checks, theme grouping, duplicate detection and neutral summaries, so reviewers start reading with context.
02

Speaker operations

Bios, headshots, slides, A/V and travel details chased per session, with status visible to the programme team.
03

Agenda change handling

One approved change in the agenda becomes updates to speakers, rooms, the event app and attendees who saved the session.
04

Not: choosing the speakers

The system does not score or rank submissions for acceptance. Reviewers score, and the programme committee decides.

How we validate it

Summaries are tested against a past call for papers: reviewers compare summaries with the abstracts they already scored, and the check is whether anything material was lost or tilted. Because a summary can carry bias, for example by flattening an unconventional proposal, the full abstract is always one click away and reviewers can switch summaries off.

Speaker messages are drafted from templates the team approves, and nothing about a speaker’s acceptance, fee or travel is sent without a person confirming it.

Questions

Questions about Agenda & Speaker Operations.

What is speaker management software?

Software that handles the speaker side of an event: collecting submissions through a call for papers, managing review, holding speaker profiles, bios and headshots, and publishing sessions to the agenda and app. Tools such as Sessionize and Pretalx, or the modules inside Cvent and Bizzabo, do this. We add the automation around them rather than replacing them.

Can AI review conference abstracts?

It can help reviewers, not replace them. Useful jobs are checking completeness, grouping by theme, flagging near-duplicates and writing neutral summaries. Scoring and acceptance should stay with people, because a model can carry bias against unconventional proposals or speakers who write in a second language. We keep the full abstract visible and leave the decision to the committee.

Can AI build an event agenda?

It can propose a draft schedule from accepted sessions, room sizes, speaker availability and track themes, and spot clashes. The programme team then edits and approves it. After that, the more valuable job is handling changes reliably, so one approved edit reaches everyone affected.
