Dental & Private Clinics

Recall that
books the slot.

Dental appointment reminders and recall work best when the message can finish the job: offer a real time, take the reply and put it in the diary. That is what this builds, with anything clinical passed to the practice team.

Why reminders alone are not enough

Most practice management systems already send dental appointment text reminders. The gap is what happens next. A patient replies asking to move to Thursday, or says they are due a hygiene visit too, and the reply lands in an inbox reception reads tomorrow. A recall message that says call us to book adds a phone call to a desk that is already full.

An AI dental receptionist closes that loop. It reads the diary, knows which clinician does which appointment type and how long each takes, offers specific times, books the one the patient picks and writes it back to the practice management system. The same agent answers the phone at lunch and after hours, so a new patient who rings at eight in the evening gets a booking rather than a voicemail.

What it handles

01

Booking and rescheduling

New and existing patients by phone, SMS, WhatsApp or web, against the live diary and your appointment rules, including deposits where you take them.
02

A working recall system

Patients overdue for check-ups and hygiene contacted in batches the team can see, with slots offered and the result recorded, not a list printed and filed.
03

Cancellations and gaps

A cancelled slot offered to patients on a short-notice list, so the chair is filled before reception would have noticed it was empty.
04

Not: pain or emergencies

Pain, swelling, bleeding, trauma or a worried parent go to the practice team at once, or to the emergency arrangement you publish out of hours. It does not judge urgency itself.

Questions

Questions about Booking & Recall.

What is an AI dental receptionist?

It is an agent that answers calls and messages for a dental practice, books and moves appointments against the live diary, sends reminders and recall, and answers practical questions such as opening hours, parking and what to bring. It works from the practice management system and the practice rules, tells patients it is automated, and hands anything clinical or sensitive to the team.

How is this different from the reminders our PMS already sends?

Built-in reminders send a message; they rarely handle the reply. This adds the conversation: rescheduling from a text reply, offering a hygiene slot alongside a check-up, filling cancellations from a waiting list, and taking calls the desk cannot answer. It uses the same PMS data, so it complements the existing reminders rather than replacing them.

Do we need patient consent for recall messages?

Recall for care the patient is receiving is usually a service message, while promotions are marketing and need consent under rules such as UK PECR or Spanish LSSI. Where the line falls for your practice is a decision for you and your adviser. The system keeps the two message types separate and honours opt-outs recorded in the PMS.
