Agenda & Speaker Operations
Call-for-papers triage, speaker chasing and agenda change handling on top of your speaker management software; reviewers score and the committee chooses.
Open pageSystems run the logistics. People run the room. Speaker submissions sorted, attendees answered at three in the morning, exhibitors chased for their stand forms. AI takes the logistics so the team can do the part only people can: running the room.
AI event planning means using models for the repetitive operational work of an event, such as speaker submissions, attendee questions, agenda changes and exhibitor admin, while organisers keep the programme, the commercial relationships and the decisions on the day.
Most organisers already run a platform: Cvent, Bizzabo, Swapcard, Eventbrite or a home-built registration system, with Sessionize or Pretalx for the call for papers and HubSpot or Salesforce for sponsors. We build on top of what you run. The agenda remains the record, registration remains the record, and the AI reads from and writes to them through their APIs.
Attendee data is personal data under GDPR, and some of it is sensitive: dietary needs can reveal religion or health, and accessibility requests often concern disability. We keep those fields separate and visible only to the people who need them, use matchmaking and lead scanning only with clear opt-in, and tell attendees when they are talking to an automated assistant, which the EU AI Act requires for chat systems. Your data-protection lead makes the determinations.
And the programme stays human. Models can sort, summarise and flag abstracts; the committee chooses who speaks.
Call-for-papers triage, reviewer assignment, speaker chasing and agenda change handling, so the committee spends its time on choices, not admin.
SEE AGENDA & SPEAKERS →An event chatbot in the app, on the website and on WhatsApp that answers from the live agenda and venue guide, and opt-in attendee matchmaking.
SEE ATTENDEE CONCIERGE →Exhibitor onboarding, deadline chasing, deliverable tracking and sponsor reports assembled from real event data.
SEE SPONSORS & EXHIBITORS →The plumbing under all three: registration, agenda, CRM, email and badge systems kept in step without re-keying.
SEE CROSS-PLATFORM WORKFLOWS →These are engineering controls we build into the architecture, not certifications. QQuantum.ai holds no security certifications, and your data-protection obligations remain yours — see our trust centre.

Open pageExhibitor onboarding and chasing, sponsor deliverable tracking and data-backed sponsor reports, reviewed by the partnerships team before any sponsor sees them.
Open pageMostly in operations. AI drafts speaker outreach and marketing copy, sorts and summarises call-for-papers submissions, answers attendee questions from the live agenda, suggests sessions and people to meet, chases exhibitor forms, and assembles post-event reports from registration and scan data. Strategy, the programme, sponsor relationships and hospitality on the day stay with the event team.
For drafting copy and agendas, a general assistant such as ChatGPT or Claude is often enough. Platforms like Cvent and Bizzabo are adding their own AI features. A custom build is worth it when the work depends on your own data across several systems, such as abstracts, registrations, agenda changes and exhibitor records, and has to run reliably during a live event.
It can be, with care. Attendee records are personal data under GDPR, and dietary and accessibility fields can reveal health or religion. We keep those fields separated and restricted, do not send attendee data to providers that train on it, use matchmaking and lead retrieval only with opt-in, and set retention per edition. Your data-protection lead decides the lawful basis.
Yes, if it reads from the live agenda rather than a copy. When a session moves, the change is made once in your agenda system, approved by a person, and the concierge answers from the updated record immediately. That is why integration with the agenda platform matters more than the model.
No. It removes repetitive work, such as answering the same question for the thousandth time or chasing a missing headshot, so planners can spend time on the programme, partners and the experience in the room. Decisions about speakers, sponsors and what happens when something goes wrong on the day stay with people.
