AI for nonprofits,
on a charity budget.

More time for the mission, not more tools.

In context

AI for nonprofits means using language models to take the repetitive writing and data work off a small team: first drafts of grant applications from your own evidence, cleaner donor records, and impact reports assembled from programme data. Staff stay the authors of anything a funder or donor reads.

Where it breaks today

01

Every funder wants it differently

The same programme is described again and again, to different word limits, different outcome frameworks and different portals. The evidence exists; the time to reshape it for each funder does not.
02

The CRM knows less than the team

Duplicate supporters, lapsed direct debits nobody noticed, consent recorded in a spreadsheet beside the database. Fundraisers work around the data instead of from it.
03

Impact lives in five places

Case notes, attendance sheets, survey exports and a finance system that codes by budget line, not by outcome. Each annual report is rebuilt by hand from scratch.
OUR APPROACH

AI tools for nonprofits that fit the team you have

Most AI for nonprofits advice is a list of tools. A list does not fix the underlying problem, which is that a small team holds its knowledge in documents, inboxes and a CRM that nobody has time to keep clean. We build the layer that reads those sources and does the reshaping: a programme description fitted to a funder’s questions, a supporter record merged and flagged, a quarter’s outcomes pulled into one table with the source of every figure.

Two rules run through all of it. A person writes what goes out under the charity’s name, because funders and donors are trusting the organisation, not a model. And personal data about supporters and beneficiaries stays under your control, with consent and lawful basis respected rather than worked around. We also help write the AI policy for nonprofits that funders and trustees increasingly ask to see, so the team knows what is allowed before it starts.

HOW IT DEPLOYS
PHASE 01

Find the hours

We sit with grants, fundraising and programme staff and measure where the writing and data work actually goes, before suggesting anything.
PHASE 02

Build on what you run

Salesforce Nonprofit Cloud, Raiser’s Edge NXT, Beacon, Donorfy, Microsoft 365 or Google Workspace: we connect to the systems in place rather than selling a new platform.
PHASE 03

Hand it over

Plain documentation, a written AI use policy and running costs sized to a charity budget, so the system outlives the project.

What we build

01

Grant application drafting

A retrieval system over your past applications, reports and evaluations that drafts answers to each funder’s questions with a citation to the source, for a grants lead to edit and submit.

SEE GRANT APPLICATIONS →
02

Donor operations

Deduplication, gift and consent checks, lapse signals and drafted thank-yous inside the donor CRM, with a fundraiser approving anything sent.

SEE DONOR OPERATIONS →
03

Impact reporting

Outcome data collected from case notes, surveys and attendance into one model, so a funder report or annual review is assembled rather than rebuilt.

SEE IMPACT REPORTING →
04

Supporter and enquiry handling

An assistant that answers routine supporter questions from your own published information and hands anything sensitive, from a complaint to a safeguarding concern, to a person.

Controls we implement

CONSENT CHECKED BEFORE CONTACT BENEFICIARY DATA MINIMISED NO TRAINING ON YOUR DATA HUMAN SIGN-OFF ON OUTBOUND SOURCE CITED ON EVERY FIGURE

These are engineering controls we build into the architecture, not certifications. QQuantum.ai holds no security certifications, and the data protection and fundraising compliance of your organisation remain yours — see our trust centre.

    Impact Reporting

Questions

Questions about Nonprofits & Charities.

How can nonprofits use AI?

The useful places are the repetitive writing and data jobs that eat a small team’s week: drafting grant answers from evidence you already hold, cleaning and enriching supporter records, drafting thank-you letters and appeals for a person to approve, and assembling outcome data for impact reports. Each one keeps a member of staff as the author and approver. The places to avoid are decisions about beneficiaries, which belong with trained people.

What are the best AI tools for nonprofits?

General assistants such as ChatGPT, Claude, Microsoft Copilot and Gemini all have nonprofit programmes and are a reasonable start for one-off drafting. They stop being enough when the work depends on your own records: past applications, the donor CRM, programme data. That is where a small connected system earns its cost, because it answers from your evidence instead of from general knowledge, and keeps personal data under your control.

Does a nonprofit need an AI policy?

Yes, and it is short work. A useful AI policy for nonprofits says which tools staff may use, what data must never be pasted into them (beneficiary and donor personal data above all), who reviews AI-assisted text before it goes to a funder or supporter, and how you disclose AI use when asked. Funders and trustees increasingly ask for one. We write it alongside any system we build.

Is it safe to put donor data into AI tools?

Not into a consumer chat tool. Donor records are personal data under GDPR, and in the UK fundraising also sits under the Code of Fundraising Practice and direct-marketing rules. The safe pattern is a system that reads the CRM under processor terms, on infrastructure that does not train on your data, and that checks recorded consent before any contact is drafted. The legal judgement on lawful basis stays with your organisation.

Can AI write a grant application for us?

It can write a strong first draft, if it is drafting from your own evidence: previous bids, evaluations, budgets and outcome data. It cannot invent a track record and should not try. Some funders now publish rules on AI use in applications, so check each one. A grants lead edits, checks every figure against its source and submits; the system only shortens the path to that draft.
