Sports & Fitness

The club office,
off the volunteers.

Sports club management software holds the members, fees and fixtures. AI on top of it handles the work around those records: answering member questions, chasing renewals, sorting registrations and keeping fixtures and rotas in step.

The real shape of the problem

Most clubs already have software: a membership platform, a payments provider, a fixtures system from the league, a shared inbox and a spreadsheet nobody admits to. The work that eats the evenings sits between them: parents asking which pitch, members whose card failed, coaches swapping sessions, a youth registration missing a consent form.

We do not replace your club management software. We connect to it, and to the payment, email, messaging and league systems around it, and automate the routine flow between them. A member enquiry is answered from the club’s own handbook and the member’s record. A failed renewal is chased politely with a working link. A fixture change updates the rota and tells the people affected.

For fitness operators and multi-site clubs the same pattern scales: class bookings, freezes and cancellations handled within your published terms, with exceptions sent to a manager.

What it handles

01

Member and parent enquiries

Times, venues, kit, fees and policies answered from the club’s own documents and the member’s record, by email, web chat or WhatsApp.
02

Registrations and renewals

Missing forms and failed payments chased, completed registrations checked, and everything written back to the membership system.
03

Fixtures, rotas and facilities

League fixture changes reflected in pitch bookings, coach rotas and team messages, with clashes flagged to the fixtures secretary.
04

Not: safeguarding or money decisions

Any safeguarding concern goes straight to the club’s welfare officer. Refunds, hardship cases and disciplinary matters go to the committee.

How we validate it

We test against a season’s worth of real enquiries, weighted toward the ones that must reach a person: a parent mentioning a worry about a coach, a member in financial difficulty, a medical note attached to a registration. Routing those correctly is the gate. Answer quality on routine questions is sampled by the club secretary each week.

Junior members’ data is handled with extra care, including parental consent under GDPR Article 8 where it applies. Members are told they are talking to an automated assistant and how to reach a person.

Questions

Questions about Club Operations.

What is the best sports club management software?

The one your members and volunteers will actually use, which depends on your sport, size and national governing body. Many governing bodies recommend or provide a platform. We do not sell one. We build the automation around whichever you run, so the choice of platform and the automation are separate decisions.

Can AI help youth sports clubs?

Yes, mostly by taking routine admin off volunteers: registrations, consent forms, fixture messages and the same parent questions every week. Youth clubs need stricter handling of children’s data and a clear safeguarding route, so any message touching welfare goes straight to the club’s welfare officer and is never answered automatically.

Do we need to replace our membership system?

No. We integrate with it through its API or exports and write changes back to it, so it remains the record. Where a platform has no usable API, we say so early, because that sets what can be automated.
