Interview scheduling
without the email chain.

AI interview scheduling finds times that work for a candidate and every interviewer, books the room or video link, and handles the reschedules, reading live calendars and writing each change back to the ATS. It decides when people meet, never who goes through.

Why scheduling tools stall

Single-interviewer booking is solved: send a link, the candidate picks a slot. What still eats coordinator time is everything around that. A panel of four across two time zones, where one interviewer must come before another. A hiring manager whose calendar shows free but who never takes calls on Fridays. A candidate who can only talk after work and needs to move the second round twice. Most interview scheduling software handles the first case well and hands the rest back to a person.

An agent closes that gap by working the way a good coordinator does: it reads real availability from Google Workspace or Microsoft 365, respects the soft rules people actually have, proposes options to the candidate in plain language, and renegotiates when something moves. Every booking and change is written back to Greenhouse, Lever, Workday or Bullhorn, so the ATS stays accurate.

What it handles

01

Panels and sequences

Multi-interviewer loops with ordering rules, buffers between sessions, interviewer load limits and backups when someone drops out.
02

Candidate-led changes

Candidates reschedule by replying in their own words, by email or message, without logging in anywhere. The agent proposes new options and confirms.
03

Logistics

Video links, room bookings, directions, accessibility requests passed to the right person, and reminders in the candidate’s time zone.
04

Not: judging the candidate

Scheduling never depends on anything about the candidate beyond their availability and stated needs. It does not prioritise, delay or deprioritise anyone.

Questions

Questions about Interview Scheduling.

What is the best interview scheduling software?

If your ATS already has a scheduling module and your interviews are mostly one-to-one, use it. Dedicated tools add panel support and self-service rescheduling. A custom agent makes sense when your loops are complex, when you run several ATSs across clients, as many agencies do, or when coordinators still spend hours on exceptions the tools hand back.

Is AI interview scheduling covered by the EU AI Act’s hiring rules?

Scheduling that only arranges meetings a recruiter has already decided on does not filter or evaluate candidates, which is what the high-risk category describes. We keep it that way by design: the trigger is a human decision and nothing about the candidate affects the booking. The classification of your own system remains your determination.

Does it work with Microsoft 365 and Google calendars at the same time?

Yes. Interviewers on one and clients or hiring managers on the other is common in agency work. The agent reads free and busy information through each provider’s official API with the narrowest permissions that work, and never reads the content of meetings.
