Tour operations,
without the copying.

AI for tour operators means agents that work inside the tour operator software already in place, chasing supplier confirmations, building rooming lists and handling amendments, so the operations team spends its time on the departures that need judgement.

Where the hours go

Most operators already run booking software: Rezdy, FareHarbor, Bókun or TourCMS for day tours and activities, Tourplan, Lemax or a bespoke system for multi-day and B2B programmes. The software holds the bookings. What it does not do is the work between the booking and the departure: emailing the hotel for a confirmation number, rebuilding the rooming list after a cancellation, telling the guide about a dietary requirement, answering the traveller who wants to change a date.

That work is repetitive, rule-bound and spread across email, spreadsheets and supplier portals, which is exactly where an agent with access to the booking system can help. We do not replace the tour operator software; we build the layer that reads from it, does the routine follow-up, and writes the result back.

What it handles

01

Supplier confirmations

Requests sent, replies read, confirmation numbers and conditions written back to the booking, and anything unconfirmed close to departure flagged.
02

Rooming lists and manifests

Rebuilt automatically when a booking changes, with dietary, mobility and room requirements passed to the hotel, guide and transport supplier.
03

Routine amendments

Name corrections, pickup changes and date moves within the product's rules, handled through the booking system, with the traveller kept informed in their language.
04

Not: disruption and refunds

Cancellations by the operator, significant changes, refunds and anything under package-travel obligations go to the duty team with the booking history attached.

How we validate it

We start in shadow mode: the agent reads real bookings and drafts the emails, lists and amendments it would have sent, and the operations team compares them with what they did. Each task type moves to automatic only after it matches the team's own work on a meaningful sample.

Every action the agent takes is logged against the booking, so when a supplier says they never received a change, there is a record of what was sent and when. That record is often worth having before any automation goes live.

Questions

Questions about Tour Operator Operations.

What is the best tour operator software?

It depends on what the operator sells. Day tours and activities usually suit Rezdy, FareHarbor or Bókun, with strong online booking and channel connections. Multi-day, B2B and tailor-made programmes usually need Tourplan, Lemax or similar, with supplier contracting and costing. We do not sell booking software; we build automation on whichever system the operator has chosen.

Can AI automate tour booking?

The booking itself is already automated by good tour operator booking software. What AI adds is the work around it: answering questions before booking, chasing supplier confirmations afterwards, keeping manifests current and handling routine amendments. Those are the tasks that still take operations teams most of their day.

Does it work with our booking system?

If the system has an API or a reliable export, yes. Rezdy, FareHarbor, Bókun and most modern platforms have APIs; older or bespoke systems sometimes need a connector built first. That integration is usually the largest part of the work and decides the timeline.
